Phoenix Art Museum Gains Institutional Efficiency, In-depth Reporting, and Member Loyalty with The Patron Edge

Challenge

  • The Phoenix Art Museum was using a ticketing system that did not inter-face with its membership database, The Raiser’s Edge. Reporting on membership usage and tracking membership activities was difficult and inhibited the ultimate member experience.
  • The museum was opening a new lobby, after two years of construction, and needed a better way to manage ticket sales and to provide excellent service. Staff had to handle group sales and school tours manually making it extremely difficult to manage inventory for its various programs. This led to accidental over-booking, which led to negative experiences.
  • For major exhibits, the museum would have to hire temporary staff to assist with the time-consuming process of selling tickets and recording information.

Solution

  • After evaluating a number of ticketing software applications, the Phoenix Art Museum selected The Patron Edge to deliver a user-friendly system that would streamline the flow of data across departments and programs, provide online ticket and membership sales, and deliver a better visitor experience.
  • Since The Patron Edge integrates with The Raiser’s Edge it enables better membership tracking and monitoring.
  • The flexible reporting available with The Patron Edge also allows the museum to better prepare for high traffic times, more quickly apply for grants, increase and decrease staff as needed, and gain a better understanding of its business and constituents.

Results

  • The integration of The Patron Edge and The Raiser’s Edge made it possible for the membership team to execute a new email campaign specific to non-members that had attended its movie showings which successfully yielded new members.
  • The flexible reporting available in The Patron Edge has saved staff a significant amount of time, especially as information required for grants has become more detailed.
  • Staff is no longer concerned with over-booking for events. Ticket sale information is available to all necessary staff and is always up-to-date.
  • Attendance information that can be pulled from The Patron Edge has led the museum to change its hours to best address the desires, schedules, and needs of its patrons while better managing costs.
